This role is for an Executive Office Administrator at Boeing, supporting Strategy and Business Operations (SBO) Executive Directors. The responsibilities include managing complex calendars, coordinating events, processing travel and expenses, and handling communications. It requires administrative support experience, proficiency in Microsoft Office, and strong organizational and interpersonal skills. The role is not directly involved in AI/ML development or research.

What you'd actually do

  1. Prioritize and schedule senior leader-level employee time and availability with a strong focus on balancing meetings and opportunities for dedicated work
  2. Plan and implement logistics for senior leader-level internal and external events
  3. Coordinate and process domestic and international business travel arrangements, monitor travel logistics, generate expense reports, provide visibility of report status, and assist in reconciling corporate credit card charges and verify payments to ensure timely and accurate reimbursement
  4. Process and screen incoming and outgoing communications to ensure proper dissemination of information
  5. Communicate a wide variety of information with multiple audiences, both verbally and in writing

Skills

Required

  • 3+ years of experience providing administrative support to multiple stakeholders such as leaders, managers, and staff members
  • 3+ years of experience managing schedules and calendars using Microsoft Outlook
  • 3+ years of experience supporting and engaging with organizational senior leadership and their teams to coordinate priority needs, support internal and external events, and provide effective travel arrangements when necessary
  • 3+ years of experience working with Microsoft Office including Outlook, Excel, Word, PowerPoint, SharePoint, and Teams

Nice to have

  • Bachelor’s degree or higher
  • 5+ years of experience in coordinating and processing travel arrangements, generating expense reports and reconciling corporate credit card charges
  • 5+ years of experience in a role which required strong interpersonal and communication skills
  • Experience leveraging technology and business applications to manage and interpret data relevant to responsibilities for problem identification and resolution
  • Experience using collaboration tools (e.g., Microsoft Teams)
  • Experience building positive relationships with peers and leaders, collaborating effectively, and communicating clearly
  • Experience acting as a liaison between executives and their support staff to ensure proper coordination and communication
