This is an Administrative Assistant role at Northrop Grumman, supporting staff with calendar management, travel arrangements, document preparation, and general office functions. It requires a high school diploma, 4 years of experience, MS Office proficiency, and the ability to obtain a Secret Security Clearance.

What you'd actually do

  1. Proactively manage calendars for assigned staff. Prioritize and schedule meetings, handle quick turn requests, monitor and act upon upcoming needs, and resolve frequent schedule conflicts.
  2. Support reporting and presentation requirements. Collect and summarize data, prepare draft documents, plan and schedule reviews, and facilitate complete and timely submissions.
  3. Make domestic and international travel arrangements and process expense reports in a timely manner for assigned staff.
  4. Attend staff meetings, publish agendas and follow-up on action items.
  5. Arrange and execute support for a variety of internal and external on-site meetings, including conference room reservations and catering.

Skills

Required

  • High School diploma or equivalent
  • Minimum of 4 years professional experience as an Administrative Assistant or performing administrative work
  • Proficient in MS Office Suite (Word, Excel, Outlook and PowerPoint)
  • Ability to obtain and maintain a DoD Secret Security Clearance

Nice to have

  • Experience in planning, coordinating and overseeing catering for corporate meetings
  • Strong proofreading and document preparation skills
  • Ability to exercise good judgment while demonstrating flexibility and agility, prioritizing multiple tasks with competing deadlines, managing schedule conflicts, and providing excellent follow-through
  • Demonstrates outstanding verbal, interpersonal and written communication skills
  • Familiarity with Northrop Grumman (NG) policies and procedures
  • Familiarity with NG systems (Concur, iBuy, and other NG tools)
  • Advanced proficiency in business and travel expense system (Concur, Edge, or similar) with complex, frequently changing travel
  • Strong interpersonal, communication and organizational skills
  • Proactive, highly motivated and adaptable, with excellent organizational skills including the ability to juggle multiple tasks, changing needs, and competing priorities
  • Strong ability to multi-task with competing priorities in a positive manner
