Administrative Assistant for EMEA Finance & Operations at a late-stage startup in the physical AI space. Responsibilities include budget tracking, PO management, accounts payable oversight, and payment monitoring across EMEA countries. Requires strong attention to detail, comfort with multiple currencies and regulatory environments, and ability to manage competing priorities.

What you'd actually do

  1. Maintain EMEA budget trackers, reconcile against NetSuite cost centers, and support monthly variance analysis and quarterly forecasts
  2. Own the end-to-end EMEA PO process, including vendor onboarding, approvals, and tracking against delivery milestones
  3. Monitor the EMEA AP queue end-to-end and serve as the primary contact for vendor invoice inquiries through month-end close
  4. Coordinate and reconcile multi-currency vendor payments (EUR, GBP, SEK) with global treasury and support VAT documentation
  5. Own EMEA shipping operations and accounts (DHL, FedEx), including import/export taxation and cross-office logistics
  6. Provide administrative support to the EMEA teams and support office operations for the Germany office

Skills

Required

  • Bachelor's degree in Business, Finance, Accounting, or equivalent experience
  • 2+ years in finance operations, AP, or administrative roles, ideally at a multinational or tech company
  • Fluency in English and German
  • Hands-on mindset, comfortable operating from strategy to day-to-day execution
  • Strong AI affinity and drive to automate and continuously improve processes
  • Experience managing procurement, AP, and vendor relationships across multiple countries
  • Highly organized, detail-oriented, and strong in Excel/Google Sheets
  • Familiarity with multi-currency payments and VAT requirements across EMEA
  • Proactive, self-directed, and comfortable in a fast-paced startup environment

Nice to have

  • Experience with NetSuite or a comparable ERP
  • Additional European languages (French, Swedish or other)
  • Experience with international shipping operations and import taxation
  • Familiarity with withholding tax documentation across EMEA jurisdictions
