The Administrative & EHS Analyst role at Caterpillar is responsible for coordinating and executing administrative, people management, financial, supplier, and EHS processes within a mining operation. This role ensures legal, safety, and internal compliance while supporting operational continuity and achieving country management objectives. Key responsibilities include managing personnel access, payroll inquiries, financial budgets, purchase requisitions, and EHS compliance activities, utilizing systems like SAP Ariba and Microsoft Office.

What you'd actually do

  1. Ensure personnel authorization for site access in accordance with client policies, required documentation, medical clearances, inductions, and other access control requirements. Provide support for employee inquiries related to payroll, absences, vacations, and medical leave. Communicate employee resignations and manage demobilization processes due to accidents or medical conditions. Review overtime records, ensuring proper authorization and accurate calculation before payroll close and system entry.
  2. Support the Site Manager in labor budget management, fixed asset requests, and service-related accounting close activities. Create and manage Purchase Requisitions (PR), Purchase Orders (PO), and Service Entry Sheets (HES) in SAP ARIBA, ensuring services comply with company standards and contractual requirements. Support supplier coordination and verification of services delivered.
  3. Ensure compliance with legal requirements and Caterpillar internal policies related to Safety, Health, and Environment (EHS). Execute monthly safety inspection checklists according to the mining site schedule. Support EHS compliance activities related to personnel mobilization, site access, and operational logistics.
  4. Perform other duties assigned by the immediate supervisor to maintain operational efficiency within the department or management area.

Skills

Required

  • Knowledge of administrative processes that support mining operations, including logistics coordination, documentation control, scheduling, and operational support activities.
  • Knowledge of personnel administration processes, including site access authorization, mobilization and demobilization controls, and compliance with client policies.
  • Basic to intermediate knowledge of financial administrative processes, including labor cost tracking, overtime validation, fixed asset requests, and service cost control.
  • Knowledge of procurement and supplier management processes, including creation and follow-up of Purchase Requisitions (PR), Purchase Orders (PO), and Service Entry Sheets (HES) using SAP Ariba.
  • Knowledge of Environment, Health, and Safety (EHS) requirements applicable to mining operations, with an emphasis on reporting, monitoring, and tracking EHS performance indicators.
  • Working knowledge of enterprise systems such as SAP Ariba for procurement and services administration.
  • Proficiency in Microsoft Office tools (Excel, Word, PowerPoint) for reporting, tracking, and documentation management.
  • Ability to manage documentation, system entries, personnel records, and financial information with accuracy and discipline.
  • Ability to manage multiple administrative, financial, and compliance-related activities simultaneously.
  • Ability to communicate effectively with site management, employees, suppliers, and client representatives.
