Administrative Lead

Administrative Lead role supporting the Chief Development Officer within Inflammation & Immunology Development at Pfizer. Responsibilities include calendar management, meeting coordination, travel logistics, expense reporting, and capturing meeting minutes. Requires strong organizational and communication skills, proficiency in Microsoft Office, and the ability to work independently in a fast-paced global environment. Experience in the pharmaceutical industry is a plus.

What you'd actually do

  1. Maintain calendars of team members; prioritize meetings, book meeting rooms, anticipate conflicts and uses diplomacy to resolve problems in advance.
  2. Set up teleconferences, Teams, videoconference and in-person meetings for all principals and ensure all materials and technology needs are available and operational.
  3. Make travel arrangements, provide detailed itineraries, prepare and submit expense reports and perform reconciliations.
  4. Capture meeting minutes for scientific leaders.
  5. Maintain and/or access departmental or company document/knowledge repositories, websites, and business systems (e.g. SharePoint), as needed. Expedite flow of work items and initiate follow-up when necessary.

Skills

Required

  • High School Diploma or GED with at least 6 years of experience
  • Demonstrated planning and organizing skills
  • Proficiency in Microsoft Office Suite, especially PowerPoint, Excel, and Word
  • Excellent attention to detail and interpersonal skills
  • Ability to work with confidential documents and information
  • Strong communication and collaboration skills
  • Ability to carry out all office functions proficiently and complete quality work on a timely basis

Nice to have

  • Prior experience as an Administrative Assistant supporting leadership in a global organization
  • Knowledge of the pharmaceutical industry and healthcare environment
  • Strong organizational skills and the ability to manage multiple tasks simultaneously
