Digital Document Services (DDS) is part of Corporate & Investment Bank (CIB) Operations that supports documentation management functions for businesses throughout the CIB. To adhere to the Data Risk Management Policy, DDS is implementing a common global operating model for the end-to-end lifecycle of client documentation across CIB inclusive of people, process, and technology while continuing to support our business partners and meet regulatory requirements in a controlled manner.
Job Responsibilities
- Monitor the incoming requests and queries from various stakeholders.
- Validate the document based on Firm’s guidelines, such as signature verification and client call back.
- Review existing document available that can be leveraged to support the validation, including reference to public available information platform to confirm the authorized signers where applicable.
- Index document into approved Firm’s repositories according to SOP to ensure the accuracy of metadata tagging.
- Understand processes in details and actively challenge status quo.
- Record and track the status of each case including but not limited to special approval according to approval matrix, reporting and escalating to service recipient and other internal stakeholders.
- General understanding of and execute internal procedural guidelines, policies (as well as related internal procedures and standards) in accordance with local and global principles.
- Work with data owners on documents handling while maintaining a centralized inventory.
- Prepare MIS report as required by consolidating various data source according to pre-defined report logic.
- Identify and communicate business partner requirements and escalate outstanding issues in a timely manner.
- Ensure Standard Operating Procedures are updated reflecting the latest process.
- Design, monitor, review and develop efficient client documents handling process, systems, and workflow by working closely with multiple functions and teams for thorough identification of responsibilities.
- Provide operational support to supply audit / compliance / regulator with query handling, analysis as required.
- Previous experiences related to or a deep understanding of local regulations/legal guideline on client documentation requirement would be an advantage, but not mandatory.
- Drive the implementation and execution of global DDS mandates and objectives.
Required qualifications, capabilities, and skills
- Degree or Diploma Holder
- Strong verbal and written communication skills and a good command of spoken and written English. Mandarin, additional language proficiencies an advantage.
- Strong computer skills using MS Office, notably, Excel, Sharepoint (Data Management skills an advantage)
- Detail-orientated. Acting in accurate, meticulous and time-conscious manner.
- Ability to multi-task, identify priorities, work independently and excellent execution mentality
- Must be a self-starter with the motivation, demonstration of initiative, and ownership mentality to think outside of the box as necessary
Preferred qualifications, capabilities, and skills
- Possess sense of urgency, ownership, excellent analytical and problem-solving skills, ability to synthesize large amounts of information and propose recommendations
- Knowledge/skills of machine learning/data science theory, techniques, and tools an advantage
- Keep abreast of regulatory reforms in derivatives markets and capital markets
