Executive Administrative Assistant supporting the Wealth Management Technology team, leveraging enterprise AI tools for productivity, managing calendars, travel, expenses, and onboarding/offboarding. Requires strong organizational and communication skills, proficiency in Microsoft Office, and experience with international travel coordination.

What you'd actually do

  1. Leverage enterprise AI tools as a daily productivity partner across all responsibilities — including drafting communications, summarizing documents, researching information, preparing meeting materials, and proofreading work — while applying sound judgment regarding accuracy, tone, and information sensitivity.
  2. Maintain complex and detailed calendars
  3. Manage the coordination and logistics of both internal and external meetings
  4. Arrange and coordinate complicated domestic and international travel
  5. Organize all aspects for offsite conferences and external events, including catering and transportation

Skills

Required

  • Frequent user of AI tools and adoption of AI into daily workflows
  • At least five years of administrative experience
  • Advanced ability to organize
  • Discretion and good judgment in confidential situations, and proven experience interacting with senior management
  • Strong interpersonal, written, and oral communication skills
  • Strong proficiency in Microsoft Office: Excel, OneNote, Teams.
  • Must be familiar with international travel coordination and logistics

Nice to have

  • Experience supporting at the Managing Director level (or equivalent) or above
  • College degree is a plus
