Executive Assistant role supporting Chief Design Officer and SVP of Software at Oura, a health and wellness company. Responsibilities include calendar management, travel coordination, meeting preparation, expense processing, and supporting strategic initiatives. Requires 5+ years of experience, strong organizational skills, and ability to work in a fast-paced environment.

What you'd actually do

  1. Provide high-level administrative and organizational support to members of the Product Leadership Executives.
  2. Proactively manage complex and dynamic calendars, coordinating meetings and appointments across multiple global time zones.
  3. Prepare meeting materials with attention to detail, including agendas and pre-reads. Attend meetings, take notes, track action items, and ensure timely follow-ups.
  4. Coordinate domestic and international travel arrangements and detailed itineraries.
  5. Monitor executive inboxes, identifying priorities, and surfacing urgent matters for timely action.

Skills

Required

  • 5+ years of experience supporting senior leaders
  • Proven ability to handle pressure, work efficiently, and stay calm and organized in a fast-paced, changing environment
  • Experience working in a similar, fast-growing international company
  • Strong organizational skills and the ability to manage multiple moving pieces without losing sight of details
  • A self-starter mindset with sound judgment, strong follow-through, and the ability to anticipate needs before they become blockers
  • Ability to work both independently and collaboratively
  • Strong comfort with Google Workspace or similar tools, especially calendar, document, and presentation workflows
  • Excellent written and verbal communication skills, with confidence working across all levels of the organization
  • Ability to handle confidential information with care and professionalism

Nice to have

  • Experience working across Europe and US time zones is a strong plus
  • Flexibility to work evening hours when needed
  • Willingness to travel as needed to support leaders, events, and on-sites
