Executive Assistant to support Global Vice Presidents within the PLGTM organization at ClickUp, a company that has built an AI-powered workspace. The role involves managing calendars, travel, correspondence, and ensuring seamless daily operations, requiring strong organizational and communication skills.

What you'd actually do

  1. Operate with a high degree of autonomy; assess incoming requests, set priorities, and make day-to-day decisions to keep executives aligned and moving, escalating only when needed.
  2. Oversee complex calendar and meeting management for executive leaders, including scheduling, preparing agendas, coordinating logistics, and capturing meeting notes to ensure efficient operations.
  3. Coordinate domestic and international travel arrangements, manage accommodations and itineraries, and proactively handle changes or issues as they arise.
  4. Support event planning and coordination, including organizing internal meetings and team offsites; manage logistics and collaborate with stakeholders to ensure successful execution.
  5. Handle executive communications by proactively managing correspondence, emails, and requests, and surfacing critical issues or opportunities requiring leadership attention.

Skills

Required

  • 5+ years of experience as an Executive Assistant supporting multiple executives simultaneously
  • Demonstrated ability to execute with limited direction
  • strong judgment in knowing when to decide independently vs. when to escalate
  • Strong organizational and time management skills with the ability to prioritize effectively
  • Excellent written and verbal communication skills
  • Proficiency in Google Apps, particularly Google Calendar, and Google Docs, Google Sheets
  • Demonstrated ability to manage complex calendars and coordinate executive travel logistics
  • A proactive problem-solver with a high degree of attention to detail
