Executive Assistant to support a Senior Leader within Product & Engineering and the SVP of Corporate Development & Ventures at Databricks. Responsibilities include calendar management, request tracking, meeting preparation, event management, operational and travel support, and handling confidential information. Requires 7+ years of experience, strong organizational and communication skills, and a curiosity about technology and the AI/data landscape.

What you'd actually do

  1. Calendar Management: Organizes all meetings across international time zones, including but not limited to internal engineering team meetings, customer meetings, internal business partners, and external venture/M&A requests.
  2. Request Tracking & SLAs: Builds and maintains records of all meeting requests and closes out all requests in a timely manner. Keeps to a strong SLA on responding to requests from both internal technical staff and external stakeholders (founders, investors, bankers).
  3. Meeting Preparation: Ensures all meeting invites have the appropriate details, context, and documentation to have an effective meeting, protecting executive focus time.
  4. Event Management: Manages offsite meetings, events, and programs in support of the leaders and their staff, ensuring team events, leadership dinners, or investor meetings are executed with polish and precision.
  5. Operational & Travel Support: Manages briefing materials, executive correspondence, and select domestic and international travel, anticipating needs before they are expressed to keep leaders operating at full capacity.

Skills

Required

  • 7+ years of applicable executive administrative experience
  • Experience working with VPs/SVPs in Engineering and Product
  • Experience working with VPs managing over 2000+ people
  • Ability to work at a fast pace with shifting priorities
  • High attention to detail, organization, and process abilities
  • Strong calendaring skills (Gmail and Google Calendar experience mandatory)
  • Strong relationship management skills
