Executive Assistant

Executive Assistant role supporting a VP of Sales Finance and their global finance team. Responsibilities include complex calendaring, global travel arrangements, event planning, managing confidential information, preparing meeting materials, and drafting communications. Requires 6+ years of experience, strong Microsoft Office skills, and excellent English communication.

What you'd actually do

  1. Provides the Team with administrative support. Includes complex calendaring, planning, screening and making phone calls, arranging global travel and creating expense reports
  2. Plans and coordinates events and meetings on and offsite, including preparation of meeting materials, logistics, agenda, and communications with attendees
  3. Develops and maintains positive working relationships with internal and outside parties, including high-level contacts of a sensitive nature. Manages information flow
  4. Provides staff meeting support. Prepares agendas, takes notes and distributes meeting minutes and presentations. Tracks action items and communicates status
  5. Creates presentations, drafts emails and other communications

Skills

Required

  • 6+ years relevant experience in a fast-paced/dynamic company
  • Associate degree in Business or equivalent experience
  • English in written and verbal communications
  • Strong detail orientation
  • solid analytical skills
  • High level skill with Microsoft Office tools, especially PowerPoint, Teams, Word, and Excel
  • Proven and successful team player and team building skills
  • In-depth knowledge of company protocol and business issues/needs
