Executive Assistant role supporting leadership in a defense technology startup focused on maritime autonomy. Responsibilities include calendar management, communication, documentation, meeting coordination, travel, and expense management. Requires strong organizational and communication skills, with experience in a startup or tech company preferred. Knowledge of the defense industry is a plus.

What you'd actually do

  1. Coordinate and manage leadership schedules, including scheduling meetings, appointments, and travel arrangements, ensuring optimal time management
  2. Serve as the primary point of contact between leadership and internal/external stakeholders, including investors, clients, and government representatives
  3. Maintain and organize important documents, emails, and records, ensuring easy access and retrieval as needed
  4. Prepare meeting agendas, take meeting minutes, and follow up on action items to facilitate effective communication and decision-making
  5. Handle all travel logistics, including booking flights, hotels, and transportation, and ensure that travel is well-planned and efficient

Skills

Required

  • Proven experience as an executive assistant or in a similar role
  • Strong organizational and time management skills
  • Exceptional written and verbal communication skills
  • Proficiency in office software and tools, including Microsoft Office and Google Workspace
  • Ability to work independently and take initiative
  • Attention to detail
  • Discretion and the ability to handle confidential information with integrity
  • Flexibility to adapt to changing priorities

Nice to have

  • Knowledge of the defense industry and government processes is a plus
