Executive Business Administrator role supporting the Office of the CTO at Microsoft, focusing on calendar management, team support, travel, and event coordination to ensure smooth operations and effective execution of AI initiatives.

What you'd actually do

  1. Manage and maintain calendars with a focus on accuracy, prioritization, and responsiveness.
  2. Seek business context to resolve ambiguity, prioritize meetings, and identify key participants.
  3. Coordinate meeting logistics (attendees, rooms, Teams links, materials) to ensure seamless execution
  4. Arrange domestic and international travel, including logistics, any required documentation (passports/visa) and policy compliance.
  5. Lead end-to-end planning and execution of meetings and events, including venue, AV, catering, and scheduling

Skills

Required

  • 5+ years of experience in administrative support, business operations, or customer service within fast-paced environments.
  • Proficiency in Microsoft Office products, including: Word, Excel, Outlook, PowerPoint, OneNote, OneDrive, SharePoint

Nice to have

  • Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
  • 2+ years experience serving as mentor to others.
  • 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
  • Proven expertise in scheduling meetings and events, managing travel logistics, and handling administrative tasks for executive or upper-level management.
