What you'd actually do

  1. Provide comprehensive administrative support to the Vice President, leadership team, and global organization.
  2. Manage complex executive calendars to align with business priorities and stakeholder needs.
  3. Monitor critical communications, including the Brand Protection Alerts mailbox, and escalate issues to appropriate stakeholders.
  4. Manage procurement and contracting activities, including supplier setup, purchase orders, and agreements in enterprise systems.
  5. Track purchase orders and expenditures to support timely processing and budget alignment.

Skills

Required

  • Associate’s degree required; bachelor’s degree preferred.
  • At least 6 years of administrative experience supporting senior leadership in a global organization.
  • Ability to maintain confidentiality, operate with professionalism, and respond with a sense of urgency.
  • Excellent judgment with the ability to anticipate and solve problems proactively; strong attention to detail and organization.
  • Strong proficiency in Microsoft Office applications, including Excel and PowerPoint, and other systems as needed.
  • Advanced experience with calendar management, meeting coordination, and event support.
  • Experience managing budgets, procurement processes, and vendor coordination.
  • Excellent communication, interpersonal, and stakeholder management skills.
  • Ability to work independently, prioritize effectively, and manage competing demands.
  • Demonstrate leadership through ethical decision-making, accountability, and commitment to patients, customers, and colleagues.

Nice to have

  • Ability to learn financial tools and processes.
  • Experience developing agendas and facilitating team meetings.
