Administrative Assistant role supporting senior leaders in Adobe's GenAI-powered product area (Firefly Foundry). Responsibilities include calendar management, travel coordination, project coordination, expense reporting, and agenda management. Requires 5+ years of experience, strong organizational and communication skills, and proficiency in MS Office.

What you'd actually do

  1. Provide administrative support to the Sr. Director(s) of AI Platform and Foundry
  2. Extensive scheduling and calendar coordination (Outlook)
  3. Coordinate travel arrangements, domestic & int’l
  4. Filter and manage requests for internal & external commitments
  5. Coordinate special projects including team off-sites, team building activities and all hands meetings

Skills

Required

  • 5+ years of experience in coordination, administrative, or operations capacity
  • Expert knowledge of computer technology, including MS Office (Outlook, Word, Excel, PowerPoint, and Teams), Slack, and familiarity with Concur or other expense-reporting software
  • Demonstrated ability to quickly turn around projects with polish and accuracy
  • Extremely organized with ability to juggle multiple/complex demands in a fast-paced environment
  • Work effectively with minimal direction, take initiative, and follow through
  • Proven ability to assess and prioritize conflicting demands
  • Must handle confidential information with integrity and exercise discretion
  • Highly organized with strong communication and writing skills
  • Ability to work regularly onsite at the Adobe San Jose location required
