Senior Executive Administrator role supporting the President & Technical Fellow and the worldwide OneDrive & SharePoint organization. Responsibilities include calendar management, travel planning, expense reporting, distribution list management, event coordination, rhythm of business processes, recruiting and onboarding support, budget forecasting and management, and space management. Requires strong organizational, analytical, and communication skills, with the ability to work under pressure and independently.

What you'd actually do

  1. Calendar management with attention to accuracy, timeliness, conflict resolution and alignment to the leader’s priorities and commitments. Maintain a level of leadership and professionalism that exemplifies Microsoft’s values through Respect, Integrity, and Accountability.
  2. Planning and coordinating domestic and international travel end-to-end including the proactive anticipation of any, and all logistics and itineraries, as well as the reconciling and submission of expense reports. Function as interim approver on team expense reports, ensuring coding accuracy.
  3. Distribution and security group ownership and management.
  4. Collaborate on planning and support of all-up events including all hands, offsites, morale events, and other group meetings as needed.
  5. Assist with the management of the rhythm of the business (ROB) processes in partnership with Chief of Staff. Proactively manage headcount all-up and provide recruiting and onboarding support for managers. Forecast and manage budget for morale, travel and entertainment, and training.

Skills

Required

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.

Nice to have

  • Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
  • 2+ years experience serving as mentor to others.
  • 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
  • Supported a global team, with remote employees, dealing with ambiguity in a timely manner.
  • Proven track record of organizational, analytical, and verbal / written communication skills.
  • Able to work effectively under pressure and act with appropriate urgency within short time constraints and shift priorities, and in relatively ambiguous and complex situations without having to know all the details.
  • Understanding of the business and what is important at different times by mapping where time is spent to key priorities.
  • High level of integrity and ability to manage sensitive and confidential information with discretion and professionalism.
  • Proactive anticipation of executive needs and able to work independently to make administrative decisions and engage with senior-level audience on behalf of the executive.
  • Working knowledge of Microsoft internal systems and tools such as Employee Central, HeadTrax, MS Expense, My Order preferred.
  • Advanced knowledge using Microsoft productivity tools including Outlook, Word, Excel, and PowerPoint. Experience using OneNote, SharePoint, Teams, and similar collaboration tools.
