What you'd actually do

  1. Coordinate and manage complex, high-volume interview schedules using automated tools integrated with Workday, Outlook, and Zoom.
  2. Serve as the primary contact for virtual, multi-day, and panel interviews, ensuring accurate setup and clear communication.
  3. Manage scheduling actions, including reschedules, substitutions, and cancellations, while maintaining data accuracy.
  4. Troubleshoot scheduling issues such as availability conflicts, time zone discrepancies, and automation errors.
  5. Mentor and train Recruiting Coordinators on best practices for automation, calendar management, and candidate communication.

Skills

Required

  • 3+ years of experience managing high-volume scheduling, preferably in Recruiting Coordination, HR operations, or talent acquisition support.
  • Strong organizational and time management skills, with attention to detail and accuracy.
  • Proficient in applicant tracking systems (Workday), Outlook calendar management, and automated scheduling tools (e.g., Paradox, GoodTime, Prelude, or similar).
  • Able to manage multiple priorities and deliver timely, accurate results.
  • Collaborative communicator who builds strong relationships with cross-functional partners.
