Workplace Operations Manager

This role is for a Workplace Operations Manager at Superhuman, an AI productivity platform company. The manager will oversee the operational performance of the Berlin Hub, ensuring the space runs safely, efficiently, and reliably. Responsibilities include managing facility operations, vendor relationships, safety compliance, emergency preparedness, space planning, sustainability initiatives, and tracking workplace performance. The role requires experience in workplace operations, facilities management, vendor management, and familiarity with German workplace regulations. While the company is in the AI space, this specific role is focused on operational management of the physical workspace, not AI/ML development.

What you'd actually do

  1. Manage all facility operations for the Berlin Hub, including building systems (HVAC, electrical, plumbing), preventative maintenance programs, and reactive repairs.
  2. Own vendor relationships end-to-end, including negotiation, SLA tracking, performance management, and cost optimization.
  3. Ensure compliance with German occupational health, fire safety, and workplace regulations. Coordinate inspections, documentation, drills, and workplace readiness.
  4. Support emergency response planning and business continuity efforts in partnership with Global Security and IT.
  5. Develop operational processes, documentation, and reporting structures that support long-term workplace growth in Berlin.

Skills

Required

  • 5+ years of workplace operations, facilities management, or technical building operations experience.
  • Experience supporting operations in a large or growing office environment.
  • Strong knowledge of vendor management, facilities systems, and preventative maintenance programs.
  • Familiarity with workplace safety, regulatory compliance, and building operations in Germany.
  • Strong organizational and problem-solving skills with a proactive approach to operational improvements.
  • Ability to balance operational reliability with a people-centered workplace experience.
  • Strong communication skills and ability to collaborate with internal teams, vendors, and building partners.
  • Has a demonstrated ability to work independently with minimal guidance, proactively manages tasks and priorities across multiple projects, analyzes and executes work efficiently, collaborates effectively with cross-functional teams, and thrives in fast-paced, results-driven environments.

Nice to have

  • Experience working with workplace management systems, ticketing tools, or facilities platforms is a plus.
